- Welcome to the Sports-Tek eLesson for MEET MANAGER 2.0 for Track &
Field (TFMM) - Hy-Tek's third generation of MEET Management software for
track & field. TFMM has been
designed to provide the very highest level of functionality for track
coaches, officials, parents, and volunteers.
- MEET MANAGER 2.0 is the natural follow-on to Hy-Tek’s MEET MANAGER 1.2
Version that was initially released in May of 2001. TFMM 2.0 will have over 100 new
features, the most important of which will be described here. This eLesson assumes that you are
already familiar with Hy-Tek’s MEET MANAGER 1.2 software.

- There are 3 ways to get Help and/or Information about MEET MANAGER 2.0.
- Start TFMM 2.0 and click Help / Contents / Index and enter a key
word. For example, if you wanted
to know how to enter an athlete, just key in “add athlete” and the Help
section will show you the topics pertaining to adding athletes.
- Use Acrobat Reader to open the TFMM 2.0 PDF User Guide included with
your software. Use the example in
1. above but enter “User Guide” as the key word to find out how to Open
the PDF file.

- All screens will be re-designed using icons and split sliding windows
consistent with Windows XP.

- From the TFMM main Menu bar, click on Check for Updates and TFMM will
automatically check The Hy-Tek web site to see if you have the current
TFMM Maintenance Update installed on your computer. If you do not, TFMM will give you the
option to download the update and ask if you want it installed now. Choose Yes and TFMM will install the
update you just downloaded and then route you back to the TFMM Main
Menu.
- Or, you can use the Personal Preferences tab under the Setup/Options
menu selection to automatically check for a maintenance update every “x”
days.

- When a Database backup is produced, TFMM 2.0 will offer a “No Edit”
option to prevent the meet results contained in that database from being
subsequently edited if this “No Edit” backup is restored.
- In addition, security for data integrity as well as confidentiality is
provided in TFMM 2.0 by not allowing access to the database outside of
the MEET MANAGER 2.0 software environment. However, the prior Hy-Tek
version 1.2L will be able to open any TFMM 2.0 database.
- For those needing to extract data, TFMM 2.0 will have an export utility
that creates a separate MS Access database that contains all entries and
results.

- This feature allows you to save the settings you have made for a
particular report. For example, memorize the Meet Results report in 3
column format and give it a name such as “3 column results”. Then memorize the same report with a 1
column format to give to the announcer and name it “1 column results”.
Later, at any time you can pick from your list of memorized reports.
- This feature will be available
for Athlete Rosters, Entry Lists, Meet Check-in, Performance Lists, Meet
Program, Finish Line Sheets, Field Score Sheets, Lap Counter Sheets,
Results, Scores Reports, Meet Summary, Medal Count reports,
Competitor/Mailing/Registration Labels, Entry Cards, and Award Labels.

- Automatic Backup: TFMM 2.0 offers the ability to specify how often you
want TFMM to automatically make a backup of your database. A backup of your database is very
important and something that many of us forget to do. You can use the Personal Preferences tab
under the Setup / Options menu selection to automatically create a
backup every "x" days.

- TFMM 2.0 now Interfaces with 4 button timers for Track & Field
meets. Previously, these timers could only be used for CC/RR races.
- The button timers that can be Interfaced with TFMM 2.0 are the Time Tech
Sprint 8, The Time Machine, Omega’s Power Time, and the Ultrak L10.

- There will be a new option to upload the heat and flight sheets for
events/rounds not started yet or to upload performance lists or a
combination.
- There will also be the option to upload all events that have results
completed.
- When uploading default files, default files for last heat and last event
are also uploaded.
- When uploading the event list by session, if there are no events in a
session, the session title is not included.

- From the Athlete Menu, you will be able to enter seed marks for
Sub-Events within a Combined Event such as Decathlon. These seed marks
can be used in the Seeding Menu to seed the sub-events by mark. If using
the seed marks, you can also seed the heat/flights best-worst or
worst-best.

- Seeding
- TFMM 2.0 will offer very flexible dual meet seeding lane assignments for
any number of lanes and up to 10 teams if 10 lanes. Assign team A to
1, 3 and 7, team B to 2 and 6,
and team C to 4, 5 and 8.
- TFMM 2.0 will also offer two team dual seeding for 5 or 7 or 9 lanes to
alternate the leftover lane between the two teams.
- You will have the choice for strict assignment for all heats or only
strict assignment on the fastest heat.
- You will also have the choice to use the dual lane assignments for
in-lane races only. That means field events and distance events will be
seeded in the normal fashion.
- Results
- There is a special format for Dual Meet Results and when selecting this
format, for each dual meet, the results will be printed with one team on
the left and one team on the right with the running team score down the
sheet.

- If you run meets for more than one team, you can easily manage up to 5
licenses on one computer by getting permission from each of the other
teams to load their license on your computer.

- There will be a new Include Qualification Marks check box for the
Session Report.
- You will be able to select two or more sessions from the Session List.
- You will be able to exclude events that have no entries.

- TFMM 2.0 will include a generic export of all entries and results in MS
Access 97 format so that users can extract data from the database
without affecting the actual database. This generic export is much
easier to use since it has all data in just a few tables.

- When importing, exporting, restoring backups, or making backups, you
will be able to designate a specific favorite directory for the given
procedure.

- General Features
- Most reports will include a Progress Bar with the option to STOP if the
report takes too long.
- A new report will be provided to display or print the Meet Entry file
that was provided for Import.
- TFMM 2.0 will include the option to suppress birth dates and
Registration IDs on athlete roster reports, entry list reports, and meet
summary reports.
- TFMM 2.0 will include the option to suppress the ages for the event name
and be able to replace the ages with Division names.
- Performance List / Meet Program Report
- The Performance List report will have additional options for alternates
only, foreigners only, and exhibition only.
- There will be an option to use converted marks for seeding, but still
show the actual unconverted seed mark on Performance Lists and
Heat/Flight Sheets (also on Results Reports).
- The events can be sorted not only by Session Order, but now by
Publication Order or by Event Order.
- If the meet is Divisions by Event, you will be able to pick one division
for the list of events.
- Entry List Report
- There will be an option to sort the list by Region / Association / Team.

- Results Reports
- Team scores can be displayed on three column results reports (previously
only one and two column results showed team scores). There will be two
choices on what to include: Female Team Scores, and /or Male Team Scores.
In addition, if the meet is Divisions by Event, you can get scores with
all divisions combined.
- The option to show Mark Standards at top of the Meet Program or Results
report, but NOT include them next to the time/mark, will be provided.
- The ability to print Results which only include a selected set of teams
will be provided in this release.
- Results will have the option to suppress the large X in front of marks
that are exhibition.
- The Results Report will include a new option to start a new page
whenever the event gender changes – great for Mixed events.
- Check-in Report
- Relays will be included in the Check-in Report.
- Exceptions Report
- The Exceptions Report will be enhanced to show what teams and events
have too many entries where teams are limited to so many per event.
- The Exceptions Report will have a new feature to show which teams have
too many entries in an event when there is a limit per team per event.
- The Exceptions Report will have the ability to list entries that are
faster than or slower than a selected mark standard.
- The Exceptions Report will have new choices to list all athletes with a
DNS and all athletes who did not compete in any event.

- Meet Summary Report
- The Meet Summary for Record Breakers will have an option to include
record as broken if the record was No Time or No Mark.
- Medal Count Report
- The Medal Count for results will be expanded from 1st thru 3rd
to 1st thru 10th.
- A new Administrative Report for Medal and Ribbon Count will compute how
many awards to purchase before the meet starts. This can be based on
actual entries received or just show the maximum required.
- Award Labels
- Award labels will have the option to be printed from the Scores Report
menu for the top so many Individual High Point winners.
- Participation labels will be added to the Award Labels Menu.
- Record breaker labels will be added as an option.
- The award labels menu will have a check box for each event that will
keep track of whether you have already printed awards for a given event
or not.
- Registration Labels
- The Registration labels will have the ability to be sorted by Region /
Association / Team for Youth Athletics Championships. The region and
association codes will be shown on the labels.

- General New Features
- Event filters will be added for all screens listing the events
(Individual only or relays only for example).
- Scoring places will be extended form 40 to 100.
- You will be able to import .jpg files as well as .bmp files for the main
screen background picture.
- The Purge Menu will have the option to delete all athletes that are
seniors.
- Seeding Features
- The Entry Scoring Preferences Menu will have a new feature to allow you
to limit the number of entries from one team that can advance to the
next round.
- The Seeding Menu will have the ability to combine two event’s entries
and automatically adjust the multi-age groups, if any, and the gender.
- In the Preview Menu, you will have the option to show a list at the
bottom of only athletes who are already entered in the event. You can
also have the Preview only show alternates.
- The Seeding Menu will have two new columns, one for the number of
scratches and one for the number of alternates in each event.
- The Seeding Menu will have an added feature to Scratch Forward if you
only want to scratch the best entries in one or more events.
- In the Declaration Pad found in the Seeding Menu, you can edit entry
notes directly in the grid and the top of the screen is updated as you
declare entries showing the number of Declared and Scratched entries.

- Athlete Menu
- The Athlete Menu will have an option to show results in addition to the
entries.
- A Disabled status will be added to the Athlete Status field and uses the
% character as the designator in reports. Relay Menu
- In Relay Menu, there will be a new option to copy the relay names from
prelims to finals or finals to prelims for ALL relays in the event.
- Run Menu
- The Run screen will show team scores at all times for all meets, not
just dual meets and will include the option to show combined team scores
in addition to male and female team scores.
- For Unseeded events, you will have the option to enter results by
competitor number, time; competitor number, time; and so on.
- You will be able to go directly to the Teams Menu from the Run Menu.
- CC/RR Menu
- In the CC/RR module, you will be able to import result files created by
FinishLynx.
- In the CC/RR module, you will be able to import result text files
created by the DAG Chip system and the ChampionChip system.
- In the Enter Ranks menu, you will be able to add new athletes or check
on the competitor number for existing athletes.

- Teams Menu
- TFMM 2.0 will include a check box in the Team Add/Edit Menu to indicate
whether the team will be included for team points or not in
Reports/Scores team totals (not
individual totals).
- Records Menu
- TFMM 2.0 will offer a new option to select only one team for updating
records and flagging records in results reports in case the record is a
team record.
- When updating records, there will be a new option to allow foreigners
and/or exhibition to break a record or not.
- Import / Export
- If Regions have been setup for teams, the regions will be exported in
all .tcl exports from MM and will be imported into MM when merging files
or importing advancers.
- When exporting semi-colon results, you will be able to filter on one
division if using Divisions by Event.
- Seed Marks for Combined Event sub-events will be included in .tcl export
files and will be imported back into MM when importing a merge of
entries or results or when importing from DirectAthletics.
